Auktia featuresImport Your Customer List for Auctions on Auktia
Auktia lets sellers (auction houses) import a customer list from Excel, CSV or a PDF. Go to My auctions, then Your buyers, then Upload your customer list. Only an email column is required. You match the columns, check the counts, confirm they're your own customers and tap Add. Nobody is emailed until you press Invite.
What file can I use to import my customer list?
Most auction houses already have a customer list somewhere: a spreadsheet of past winners, sign-up sheets from pickup days, or an export from the software they used before. Auktia takes it in the shape it's already in, as long as each customer has an email address.
Only the email column is required. Names and phone numbers are optional, but worth keeping if your file has them, because they make the list easier to read and check later.
- Excel files (.xlsx or .xls).
- CSV files, the plain format almost every program can export.
- A PDF of the list, up to 4 MB and 80 pages. Auktia reads the PDF and copies out each name, email and phone for you to check before anything is added.
- Up to 50,000 rows in a single file.
How do I upload my customer list?
The upload lives on the Your buyers screen, and you see exactly what will be added before anything is saved.
- Open My auctions (or Settings → Your business) and go to Your buyers.
- Tap Upload your customer list and choose your Excel, CSV or PDF file.
- Match the columns: tell Auktia which column holds the email address, and which hold the name and phone if your file has them.
- Check the counts and the first rows to make sure the columns lined up the way you expected.
- Tick the box confirming these are your own customers and that you may email them.
- Tap Add. Your list is saved, and nobody is emailed until you press Invite.
What do the counts mean before I tap Add?
Before anything is added, Auktia sorts the rows of your file into counts, so you know what you're getting and can fix the file if something looks off.
Say your file has 1,000 rows, and the counts show 940 ready to add, 25 not an email address, 30 duplicates and 5 unsubscribed. The 940 join your list. The 25 are worth a look: a missing @ or a phone number typed into the email column is quick to fix in the spreadsheet before you upload it again.
- Ready to add: rows with a usable email address that will join your list.
- Not an email address: rows where the email column holds something that isn't one, often a typo or a note.
- Duplicates: email addresses that appear more than once.
- Unsubscribed: people who have already asked not to hear from you through Auktia.
Who can see my customer list on Auktia?
Your list is private. Only your own team, and Auktia staff when helping you with support, can see it. Auktia never shares it, never sells it, and never uses it to promote anyone else's auctions.
Adding a list doesn't send anything. Your customers hear nothing until you press Invite, so you can upload, check and tidy the list on your own schedule.
The tick box before you add is there for a reason: the list should be people who are your customers and who you may email, such as past bidders and buyers who gave you their address. Leave out addresses bought or copied from anywhere else.
What happens after my list is added?
The list sits under Your buyers, ready for invitations. When you tap Invite, each customer gets an email from your business via Auktia with a link to your next published auction, and replies go to your business email. The page on emailing your auction customers covers the sending limits and good habits.
Customers who sign in with the invited email follow you automatically. From then on they get an email whenever you publish a new auction, and they can find every auction you run on your seller page.
Your own customers are often the quickest bidders to reach, because they already know you and how you run an auction. For more ways to fill an auction, see how to get more bidders for an auction.
Questions people ask
Can I import a customer list from a PDF?
Yes. Upload a PDF of up to 4 MB and 80 pages and Auktia reads it, copying out each name, email and phone. You check the result before anything is added.
Does my customer list need names and phone numbers?
No. Only an email column is required. Name and phone are optional, and you match whichever columns your file has during the upload.
How many customers can I upload at once?
Up to 50,000 rows in a single file, as Excel, CSV or PDF.
Will Auktia email my customers as soon as I upload the list?
No. Uploading only saves the list. Nobody is emailed until you press Invite on the Your buyers screen.
Will Auktia use my list to promote other auction houses?
No. The list is visible only to your team and to Auktia staff for support, and Auktia never shares it, sells it, or uses it to promote anyone else's auctions.
What happens to customers who have unsubscribed?
They show in the unsubscribed count when you upload. Anyone who unsubscribes from your invitations never hears from you through Auktia again.
